Everyday habits that reduce the risk of accidental data exposure while working with client information on computers and screens.

  

Secure Access After Employee Exit

What it does:
Prevents former staff from accessing your firm’s systems, emails, and client data.

How to use it:
Immediately after exit:
• Change passwords for: Email, GST, Income Tax portal
• Remove recovery email / mobile numbers
• Go to Google / Microsoft account → Security → Sign out of all devices
• Revoke access to connected apps (Drive, Dropbox, etc.)

Where it helps:
• Employee resignation or termination
• Handling sensitive client data
• Firms with shared system access

Why it matters:
Access often remains active even after exit.
This creates a silent risk of data misuse or leakage.

  


Assuming “cloud = backup”?

It isn’t.

If you delete a synced file:
• It deletes everywhere
• Recovery window is limited

True backup = offline copy or versioned backup.

Cloud sync ≠ data safety.

 


Windows remembers everything you copy.

Press: Windows + V

Clipboard history may contain sensitive data
(PAN, passwords, client information).

Good practice:
Clear clipboard history periodically.

How:
Settings → System → Clipboard
Click: Clear clipboard data

 


Anything you copy may stay in memory.

Windows clipboard history can resurface:
• During screen-share
• During later system use

Practical habit:
• Don’t copy sensitive data unless necessary
• Type it when possible

Small change. Big safety upgrade.

 


Mobile phones may also store clipboard data.

On many Android phones,
keyboards maintain clipboard history
(text you copied earlier may remain stored).

On iPhones, clipboard is usually limited
to the last copied item.

Good practice:
Avoid copying sensitive data on phones.
Periodically review or clear clipboard history if your device / keyboard supports it.
